This Privacy Policy explains how we collect, use, disclose, and manage your personal information when you use the Aris Detect website and platform. It also outlines how you can access or correct your information and make inquiries or complaints about our privacy practices.
By using Aris Detect, you agree to the collection and use of your information as described in this Policy. We encourage you to read this document carefully. Identity and Contact Information: Names, email addresses, and (if applicable) business or company name. We also collect property addresses which may be linked to individuals (for example, the homeowner or inspector).
Property Photos: Aerial and ground-level photographs of properties that you upload. These images may inadvertently include identifiable individuals (such as homeowners, residents, or bystanders) if they appear in the photos.
Image Metadata and Device Information: Metadata embedded in your uploaded images or captured via your device. This can include the date and time the photo was taken, GPS location coordinates (geotags), and details about the capture device (e.g. drone model, camera type, or smartphone model). If you use a drone or mobile phone to capture images, we may collect device identifiers or technical information through this metadata.
Location and Property Details: Information about the property’s location and characteristics that you provide or that can be inferred from the images. For example, this may include the property’s GPS location or address, as well as details about the structure’s type, age, building materials, dimensions, and roof condition or damage.
Platform Usage Data: Information about how you interact with our platform, such as your login times, actions taken (e.g. report generation, form inputs), and preferences. This may include technical logs and analytics data (like IP addresses, browser type, and operating system) captured when you use the service.All of the above information is considered “personal information” if it identifies you or any individual, or can be reasonably linked to an individual. We aim to only collect information that is reasonably necessary for our functions and activities (providing roof inspection services), and we handle sensitive information (such as any images depicting individuals) with extra care.
How We Collect Personal InformationAris Detect collects personal information in several ways, including:
Directly from You (User Inputs): We collect information that you and other users provide through our platform’s interfaces. This includes data entered into text fields, form inputs, drop-down menus, sliders, and other fields when setting up an inspection or generating a report. For example, you may input a property address, select details about the property (like material or age), or type notes and descriptions. We also collect account information you provide when registering (such as your name, email, and password) and any information you submit when contacting us for support.
Through Uploaded Images and Files: When you upload photographs or other files to our platform, we automatically collect any personal information contained in those uploads. This includes analyzing the images to identify roof damage and also extracting metadata (e.g. geolocation or device info) embedded in image files. If your images contain individuals or personal property, that information is captured as part of the photo content. Our AI-powered analysis will focus on roof features and damage, but the images and any recognizable individuals in them are still stored on our system as part of the report record.
Via Third-Party Integrations (APIs): We may receive information through third-party services that you choose to integrate with Aris Detect. For instance, if our platform connects to external applications or databases via an API (Application Programming Interface), we might collect relevant data from those sources. Examples could include pulling property data from an insurance system or mapping service, or receiving user identity information from a single sign-on provider. We only obtain such data with your authorization and as needed to facilitate the integration or feature you are using.
Automated Means & Metadata: In addition to the content you actively provide, our systems automatically collect certain data when you use our services. This includes technical data like your IP address, browser type, device type, and operating system when you access our web app. It also includes cookies and tracking data (described in the next section) which help us understand your usage and secure our platform.Where we collect personal information from third parties or public sources, we will do so only by lawful and fair means. These cookies are essential for login sessions and core functionality – for example, keeping you logged in as you generate a report or move between pages. Session cookies are typically temporary and are erased or become invalid once you log out or close your browser. They do not collect personal data beyond what is necessary for service functionality (like your user ID to maintain your session).
Security and Performance Tracking: Our platform employs certain cookies and tools to maintain security and performance. For instance, our web application firewall (WAF) and security analytics systems may use cookies or IP address tracking to distinguish legitimate users from malicious actors. These technologies help us detect and prevent unauthorized access, fraud, or other harmful activities. They may log information such as your IP, device details, and usage patterns for security auditing purposes. This data is used strictly to protect our service and users, and to ensure the platform runs reliably.
Analytics and Usage Tracking: We may use analytics tools (which can involve cookies or similar tracking pixels) to collect information about how users interact with Aris Detect. This helps us understand usage trends, which features are most used, and how we can improve the user experience. For example, we might use Google Analytics or similar services to gather aggregate statistics on page load times, user navigation flows, and other performance metrics. These analytics cookies collect information in an anonymized or aggregated form (e.g. overall usage numbers rather than identifying individuals).
Marketing and Advertising Cookies: Aris Detect uses third-party tracking technologies for marketing purposes. In particular, we integrate with platforms such as Google Ads, Meta (Facebook) Ads, and HubSpot. These third parties may set cookies or pixels on our site to track when you visit or take certain actions, which allows us to measure the effectiveness of our advertisements and outreach. For example, the Google Ads cookie enables us to know if a user visited our site after clicking an ad, and the Meta Pixel helps us with analytics and retargeting on social media. HubSpot (our Customer Relationship Management platform) may place cookies to identify your visits and interactions with our site, assisting our sales and customer success team in providing personalized service. These marketing trackers may collect information like your browser identifiers and page visits over time. We do not share personally identifying details to advertisers; rather, these tools help us reach people with relevant Aris Detect offers and understand ad campaign performance.You have choices in how cookies and trackers are used. The main purposes for which Aris Detect uses personal information include:
Providing Our Services: We use the information you provide (such as property details and photos) to generate roof inspection reports and deliver the core functionality of our platform. For example, our AI algorithms analyze the uploaded images to detect damage, and we compile the data you’ve entered into a structured report. Your contact information is used to create and manage your account, authenticate you at login, and to communicate with you about your inspections or account (e.g. sending report results or important account notices).
Improving and Developing the Platform: Internally, we may use personal data (including images and metadata) to refine our services and develop new features. This can involve using examples of photos and inspection results to train or enhance our damage detection AI models, or reviewing user feedback and usage patterns to improve the user interface. Whenever feasible, we use de-identified or aggregated information for product improvement to limit any impact on your privacy. For instance, we might analyze trends in roof damage types across many reports to improve our detection accuracy, without focusing on any individual’s data. Rest assured, any such internal use remains in line with our privacy obligations and is aimed at providing a better experience for you and all our users.
Customer Support and Communication: We use your contact details (like email address and name) to communicate with you about customer support issues, respond to your inquiries, and provide updates. If you reach out with a question or problem, we will access your relevant information to resolve it. We may also send service-related announcements or administrative emails (for example, if we update our terms or have a security alert). These communications are typically necessary as part of the service.
Marketing (With Consent): Aris Detect may use your contact information to send you marketing communications about product updates, new features, promotions, or industry news, but only if you have consented to such communications or if otherwise permitted by law. For example, if you sign up for our newsletter or indicate interest in updates, we might email you occasional news about Aris Detect. You will have the option to opt out of marketing emails at any time. (Transactional emails about your account or services are not considered marketing and cannot usually be opted out of, as they are necessary for service delivery.)
Ensuring Security and Compliance: We use personal information to maintain the security of our platform and users. For instance, we might analyze logs of user activities and device information to detect suspicious behavior and prevent fraud or abuse. Additionally, we will use and disclose personal information as needed to meet our legal obligations – for example, to comply with a court order or binding request from law enforcement, or to enforce our Terms of Service and protect our rights or the rights of others.
Other Purposes With Consent: If we ever need to use your personal information for a purpose not covered above, we will seek your consent where required. We will not use your data in ways that are unrelated to the reasons we collected it, unless we have your permission or are required by law to do so.
Aris Detect
does not sell or rent your personal information to third parties for their own marketing or any other purpose. We use your information solely to run and enhance our service and as described in this Policy. In certain cases, we may generate de-identified or aggregated data from your information (for example, statistics on how many roofs in a region have a certain type of damage, without identifying any individual or property). Such aggregated data contains no identifiable personal information and may be used by us for business analytics, research, or marketing. If we combine or link aggregated data with any personal information (so that it could potentially identify an individual), we will treat it as personal information and handle it accordingly.Disclosure of Personal InformationAris Detect may need to share your personal information with third parties in certain circumstances. When we disclose personal information, we do so in accordance with the Privacy Act and for the purposes outlined in this Policy.

Service Providers and Partners: We use trusted third-party companies to support our operations and delivery of services. This includes cloud infrastructure providers (for data hosting and storage), email and IT service providers, analytics and marketing tool providers (such as Google, Meta, and HubSpot as mentioned above), and customer support platforms. These service providers may process or store your personal information on our behalf
solely for the purpose of providing their services to us.
For example, our platform may be hosted on a cloud server infrastructure (potentially outside Australia) or we might use an email delivery service to send out reports and notifications. We only share the information that the provider needs to perform its function, and we require all such third parties to handle your data securely and in compliance with applicable privacy laws (for example, through contractual agreements or by ensuring they are subject to similar privacy obligations).
Your Organisation and Authorized Users: If you are using Aris Detect as part of an organization (for instance, your employer or a company that purchased our service), personal information relevant to your use may be shared with administrators or other authorized users in that organization. For example, an office manager at a roof inspection company might see reports and data uploaded by the inspectors on their team. This is intrinsic to how the collaborative aspects of our platform work. Such data sharing is under the control of the organization and its user permissions.
Third Parties You Choose to Share With: One of the features of Aris Detect is generating roof inspection reports that you can share with others.
You have control over who you distribute these reports to. Typically, our customers share the generated reports with stakeholders like insurance companies, loss adjusters, clients (property owners), roofing tradespeople, or other relevant parties who need the information. If you choose to download or send a report (or invite someone to view it via our platform), you are authorizing the disclosure of the information in that report to that third party. For example, if you upload photos and property details to create an inspection report, and then you email that report PDF to an insurance assessor, the assessor will receive all the personal information contained in it (such as the property address, photos, etc.).
Aris Detect itself does not directly send your personal data to these external stakeholders unless you use a platform feature that does so at your instruction. Once you share data with a third party, their use of that information will be subject to their own privacy policies. We recommend exercising caution and sharing reports only with trusted parties, and we encourage those parties to handle the information in accordance with privacy best practices.
Legal Requirements and Protection: We may disclose personal information when required by law or if we have a good-faith belief that such action is necessary to comply with legal obligations. For instance, we might need to respond to a subpoena, court order, or a lawful request by government authorities under Australian law. We may also disclose information if necessary to investigate or enforce our agreements and policies, to detect or prevent fraud or security issues, or to protect the rights, property, or safety of Aris Detect, our users, or the public. In such cases, we will only provide the information that is necessary and will take steps to ensure that any requesting authority has a legitimate basis for the request.
Business Transfers: If Aris Detect (or its related entity) is involved in a merger, acquisition, sale of assets, or restructuring, personal information may be transferred to the new owner or successor entity as part of that transaction. We will ensure that the new owner is bound to protect your personal information in a manner consistent with this Privacy Policy. You will be notified via the contact information we have on file or via a prominent notice on our platform of any change in ownership or uses of your personal information, as well as any choices you may have regarding your personal information in that event.
With Your Consent: Apart from the above scenarios, if we ever need to share your information with a third party for a new purpose (for example, sharing a testimonial with your name on our website, or collaborating with a partner for an event), we will do so only with your consent. You have the right to say no to such sharing, and we will respect your choice.When disclosing personal information, we strive to limit the information shared to what is necessary for the intended purpose. We also take steps to ensure any third party we disclose to will protect the information in line with this Policy and Australian privacy law.
Aris Detect
never sells your personal data to anyone, and we do not disclose your information to third parties for their independent marketing or unrelated purposes without your express consent.
Data Retention
Retention Period: Aris Detect retains your personal information for as long as necessary to fulfill the purposes for which it was collected, or as required or permitted by law. In practice, this means we will keep your data
indefinitely by default, until you choose to delete or archive it, in order to provide you with continuous access to your past inspection records and reports. Because many of our users rely on having historical inspection data available (for example, to compare property conditions over time or to reference past reports for insurance or repair work), our system is designed to preserve your data until you decide it’s no longer needed. Keeping the data indefinitely helps ensure a seamless user experience, allowing you to retrieve old reports whenever you need them.
Archiving and Deletion: Within the Aris Detect platform, you have the ability to archive reports or data. Archiving is a form of “soft delete” – it allows you to remove an item from active view without fully erasing it from our servers. Archived data is not readily accessible to you or others in your account, but it is still stored securely on our backend. If you wish to permanently delete specific personal data (such as an inspection report, image, or your entire account), you can make a deletion request to us (see the “User Access and Control” section below on how to do this). When a valid deletion request is received, we will take reasonable steps to permanently erase or de-identify the personal information in question. De-identification means modifying the data so that it can no longer be associated with you or any individual. Please note that deletion of certain data (like account information) may require closing your account, and we will inform you of any implications at the time of your request.
Backup and Legal Retention: Even when you delete data or close your account, some residual copies of your information might persist in our backup systems for a limited time. This is common practice to ensure integrity of our service and data recovery in case of accidental loss. We have processes to eventually overwrite or securely delete backup data as well. Additionally, Aris Detect may retain certain information if we are required to do so for legal, regulatory, or legitimate business purposes. For example, we might need to keep transaction records, billing information, or communications with you to comply with Australian tax law, resolve disputes, enforce our agreements, or demonstrate compliance with legal obligations.
In all cases, if we retain data for such purposes, we will continue to protect it in accordance with this Privacy Policy and applicable laws.Importantly, in line with Australian Privacy Principle 11, we will
not keep personal information indefinitely without purpose. We take reasonable steps to destroy or de-identify personal information once it is no longer needed for the purpose for which it was collected, provided we are not required by law or other legitimate interests to keep it. In summary, except for data you have deleted or asked us to remove, we will hold on to your personal information while you maintain an active account and for so long as that information is serving the purpose for which it was gathered (e.g. enabling you to access your reports). We will periodically review the data we hold and may de-identify or delete information that is no longer being used, to ensure we are not retaining anything unnecessarily.
User Access and Control of Personal InformationWe believe in user control and transparency. As an Aris Detect user, you have the right to access the personal information we hold about you, and to correct or delete that information as needed. We have built features into our platform to help you manage your data, and you can also contact us for assistance.
Here are the ways you can exercise control over your personal information:
Accessing and Viewing Your Data: You can view the information and content you have provided by logging into your Aris Detect account. Within the platform, you have access to your profile details (like your name, email, and any profile information), as well as all your uploaded property images, generated reports, and form inputs for each inspection. The interface allows you to review past reports and the data associated with them. If you need a copy of your personal data, you may download individual reports and images directly. For a more comprehensive export (for example, all personal data we hold about you in a portable format), you can send us a request, and we will compile the data for you. We will provide this export in a reasonable time frame, usually within 30 days, and at no charge (unless the request is manifestly unfounded or excessive, in which case a small fee may apply as permitted by law).
Editing and Correcting Your Data: If any of your personal information is inaccurate or out-of-date, you are entitled to have it corrected. Through your account settings, you can update certain details like your contact information (email, name, password). In addition, you can edit information in an inspection report before finalizing it (for instance, you might change a property detail or edit a note if you notice an error). If you find any information that you cannot directly edit yourself, please contact us with the details of the correction needed. We will promptly update the information and ensure it is accurate, complete, and up-to-date, as required by APP 13.
Archiving or Removing Data: As mentioned in the Data Retention section, you have the option to archive (soft-delete) inspection projects or reports via the platform interface. Archiving will hide the data from your active view, which is useful if you want to declutter your dashboard without losing past records. For permanent deletion, you may have functionality in the platform to delete certain items (like removing a photo from a report or deleting an entire inspection case). When you initiate such deletion through the interface, we will remove the data from active databases, though it may remain in backups for a period as noted. If the platform does not provide a way to delete something, you can always contact us to request deletion. We will honor deletion requests so long as we do not have a legal obligation to retain the data.
Account Deactivation: If you wish to discontinue using Aris Detect, you can choose to deactivate or delete your account. This process can be initiated by contacting our support team. Upon account deletion, we will remove or anonymize personal information associated with your account, aside from any information we must keep for legal reasons. We will let you know what data, if any, needs to be retained. Keep in mind that deleting your account will remove access to all your stored reports and data, so be sure to export any reports or information you want to keep before doing so.
Consent Preferences: Where we rely on your consent to process information (for example, for marketing emails or optional data collection), you have the right to withdraw that consent at any time. You can unsubscribe from marketing communications by clicking the “unsubscribe” link in any email or by adjusting your preferences in your account settings (if available). Withdrawal of consent will not affect the legality of any processing we carried out before you withdrew consent, but it will stop the specific future activity you objected to.To make any formal requests regarding access, correction, or deletion of your data, you can use the contact information in the next section.
Aris Detect will respond to your request as quickly as possible, generally within 30 days. We may need to verify your identity before releasing or altering information, to ensure that we do not accidentally modify or disclose personal data to an unauthorized person. In rare cases, we might be unable to fulfill a request – for example, if providing access would violate someone else’s privacy or if we are legally prevented from deleting certain records. If we refuse any request, we will provide you with a written explanation of the reasons (except where it would be unreasonable to do so) and inform you of any further steps you can take.

Children’s PrivacyAris Detect is a business-oriented platform intended for use by adults in the roofing and insurance industries. Our services are
not directed to children, and you must be
18 years of age or older to create an Aris Detect account or use our platform. We do not knowingly collect personal information from individuals under 18 years old. If you are under 18, please do not use the platform or provide any personal information to us.
In the unlikely event that we discover we have collected personal information from a child under 18 (for example, if a minor attempts to register or if a child’s image or details are inadvertently captured in an uploaded inspection photo), we will take immediate steps to delete that information or otherwise ensure it is handled in accordance with the law. This may include removing the data from our servers and, if appropriate, notifying the child’s parent or guardian. If you are a parent or guardian and believe your child under 18 may have provided personal data to Aris Detect, please contact us right away so that we can investigate and address the issue. We take the privacy of minors seriously and will promptly take appropriate action in such cases.

When you contact us, please provide your name and contact details, and clearly describe your question or request. For example, if you are requesting access to specific data, let us know what you are looking for to help us fulfill your request efficiently. If you are making a correction, please tell us what is wrong and what it should be replaced with. For deletion requests, specify what you would like deleted (certain reports, images, or your entire account). Our team will respond to you as soon as possible, generally within 10 business days to acknowledge your query and within 30 days to resolve the request. We will treat all requests and complaints seriously and fairly. In case of a complaint, our Privacy Officer will investigate the issue, seek to understand and address your concerns, and inform you of the outcome of our investigation.
